Cave Creek USD approves five‑year contract to replace Cactus Shadows turf

The Cave Creek Unified School District governing board voted to authorize a five‑year government obligation contract to replace the turf at Cactus Shadows High School’s stadium and related work. Superintendent Dolezal said the district is “in year 10 of 10” on the existing turf and that, because of vendor lead times and rising material costs, installing the new field this year would save the district money. “Moving forward this year, we'll save at least a $100,000 overall as opposed to waiting even till next year,” Dolezal said. The district presented a total estimated project cost of about $760,952, with a financing structure that Dr. Pletnick described as a five‑year government obligation contract that “does not count towards our debt, such as bonds.” That contract would require payments of just over $173,000 per year for five years, Dr. Pletnick said. Board and staff discussed what the package includes and how the field will be used and maintained. The district said the base bid covers the turf, infill/cooling blends, and maintenance/grooming equipment; the district separately estimated watering and irrigation work could add between about $18,000 and $25,000 depending on underground pipe condition. Staff also said warranty details would be in the final vendor agreement; the board was told a warranty exists but specifics would be reviewed in the contract. Administration told the board the vendor Shaw Turf had been engaged in earlier planning and would honor a prior quote in the current window. Staff said turf manufacturers estimate a 10‑ to 12‑year life expectancy with proper maintenance; the district described a need to set usage and maintenance guidelines, and to review rental rates and revenue structures so wear from external users does not shorten the field’s lifespan. Board members asked about alternate funding and sponsorships; staff said they had explored grants and sponsorships over several years and had received interest from boosters but no full sponsorships. Staff also said the district had reserved capital money for field replacements in prior years and that financing would rely on capital‑side funds, not maintenance and operations money. The board approved the motion to proceed with the financing documents as presented, subject to counsel modifications. The superintendent and cabinet indicated they will return with final contract documents, warranty language, and proposed usage and maintenance guidelines.
