Jose, a city staff member, told the commission it “is recommended that the health and education, define the objective of the event, create an event program, set a budget and timeline if required, confirm set up and required supplies, and assign roles and responsibilities.” He said the parks department has the community center available that day and staff recommends commissioners determine activities, time and participant organizations.
The commission discussed formats used last year — a short presentation followed by vendor tables and an art component — and emphasized bilingual outreach and partnering with organizations such as the county public-health department for screenings and presentations. Commissioners asked staff to prepare a flyer and bring a draft back for approval before posting. Jose said communications will assist with social-media and physical outreach and that staff will email confirmed times and logistics once they are finalized.
Commissioners who spoke emphasized practical details: a likely 10 a.m. to noon schedule, space for roughly six vendor tables in a U-shaped layout facing seating for presentations, a projector and microphone for a 20- to 30-minute workshop, and modest refreshments such as water and light snacks. One commissioner described an interactive call-for-art component used previously; another suggested inviting local senior centers and bilingual presenters to improve access.
The commission approved the calendar dates with one correction (the spray-and-neuter event is May 16). Staff will reach out to organizations contacted for last year’s event, confirm presenters, prepare a room layout and a draft flyer, and return to the commission with confirmations at the next meeting.
Attendance commitments were informal: several commissioners said they expected to attend the Nov. 15 event; commissioners asked staff to provide updated contact and logistics information by the next meeting.
