Committee members on June 17 asked planning staff to resume copying other council committees on memoranda and meeting packets to improve awareness of overlapping topics and avoid duplicative discussion.
Background: Staff said it had previously cc’d memoranda to other committees through 2022 but discontinued the practice at city leadership’s instruction. Committee members said they sometimes find similar topics discussed separately in Economic Development or Administration/Public Works and asked to be alerted earlier when cross‑jurisdictional items arise.
Decision: The committee voted to resume cc’ing other committee members and leadership when meeting packets and memoranda are issued, noting staff do not see this as an undue administrative burden. Members agreed they would use the copies as an optional resource and only escalate items as needed.
Next steps: Staff will again include other committee members and relevant leadership on memorandum distribution so committee members can review cross‑committee items prior to meetings and suggest agenda additions or questions.
