Weatherford City Council voted to approve a portion of RFP 2025-012 for fleet maintenance and repair services, awarding the contract to Sergeant's R&B LLP and excluding Christian Brothers Automotive Weatherford from the approval.
Nut graf: Council members expressed concern about the Christian Brothers bid’s pricing and whether local vendors had adequate notice; they approved awarding only the Sergeant's R&B portion to ensure continuity of services while leaving the remaining work to be rebid later.
Council member Zach Smith moved and Luke Williams seconded a motion to proceed with the Sergeant's R&B LLP contract for the rest of the fiscal year and not approve the Christian Brothers Automotive Weatherford portion. The motion passed on a council vote. Smith said the Christian Brothers pricing “was kind of staggering” compared with local averages and suggested rebidding that portion before the next budget season. He recommended the city continue existing repair arrangements in the meantime.
Accounting Manager Hannah Seymour told the council the city’s fleet maintenance spending was currently “well under $50,000” and that the proposed $125,000 annual ceiling would cover the expected remainder of the fiscal year. Seymour said staff was comfortable with awarding the Sergeant's portion alone if council approved it.
The council also asked whether it would be appropriate to award the Sergeant's portion now and rebid the other portion; members indicated support for that approach. After the vote, the mayor indicated the motion passed and the matter would proceed as approved.
Ending: Council did not take further action on fleet contracting at the meeting; staff will proceed under the approved Sergeant's R&B LLP agreement and may rebid the remaining portion later.
