Executive Committee approves Cohesity backup purchase; IT reports RMS and 911 go‑lives and ERP timeline uncertainty

The McLean County Executive Committee approved a one‑year purchase of Cohesity Data Protect to back up Office 365 tenant data — including email, OneDrive and Teams — under a joint purchasing master contract negotiated through the Illinois Department of Innovation and Technology and SHI International, the committee heard Aug. 11.
"One is a renewal. We had a 10 terabytes running from last year to this year. We are over that now, so we're doubling our capacity," IT representative Matt Berger told the committee during the motion discussion. The motion to approve the purchase was made by Member Bridal and seconded by Member Klein; the committee voted aye and the motion passed.
IT Director Craig Nelson briefed the committee on department activity: the first component of the new Aegis records management system (RMS) for law enforcement went live on July 22 and all law enforcement agencies are now submitting police reports into the new RMS. A new 911 system at Metcom went live the following week; Nelson credited Metcom staff for that rollout.
Nelson also described an ongoing file‑share migration from on‑premises servers to OneDrive and SharePoint and said personal user spaces have been migrated and departmental shared resources are next. He noted the recently approved backup purchase will protect material stored in Microsoft cloud services.
On the countywide enterprise resource planning (ERP) project, Nelson said the finance component was targeted as the first to go live but the committee was not given a firm date. "We have one that's been established up to this point of Nov. 3 … we may be coming back to you to get that modified," Nelson said, adding alternative timelines discussed include February or July 2026 and that vendor communication about required county engagement had been incomplete. He flagged continued risk from limited engagement by the auditor’s office in configuration meetings.
Committee members asked about cellular boosters and multi‑factor authentication inside the jail, vendor list status for the ERP and the level of engagement from the treasurer and auditor offices. Nelson said the T‑Mobile booster hardware had been placed and the county was confirming compatibility with other carriers; he said the treasurer’s office had been "extremely engaged" while the auditor’s office had not participated regularly in the configuration meetings.
No amendment to the ERP schedule was approved at the Aug. 11 meeting; Nelson said he would provide additional detail to the committee in a future monthly report if schedule changes were required.
