Board reviews draft communication-protocols document, plans liaison table for civic groups

Board members reviewed a draft board-communication-protocols document that compiles existing policies and clarifies internal and external communication expectations. The board asked staff to assemble a table of civic organizations and to return with additional language about assigning topical liaisons.

The draft, which grew out of a July retreat, summarizes existing laws and district policies governing communication and divides recommended practices into internal (staff/building concerns) and external (state, federal, civic groups) approaches. ‘‘We kind of collaborated to then build a document that kinda summarizes all of our current information,’’ the presenter said.

Board members supported a liaison approach for civic organizations and topical issues: assigning a board member as a point of contact for groups such as Kiwanis or the Pullman Education Foundation, and assigning topic liaisons when an issue requires sustained attention. One board member suggested the board should ensure any liaison roles do not duplicate existing staff relationships and asked staff to check with the superintendent before finalizing assignments.

The board also asked staff to include a protocol for complaints concerning board member conduct so such concerns would be directed to the board president for follow-up. Staff agreed to compile a list of civic organizations (the board was asked to submit suggestions) and to return the document in two weeks with a populated table and draft topical-assignment language.

Why it matters: The document aims to streamline communications, clarify expectations for board members and staff, and create a single reference for handling common issues and external contacts. The approach is intended to speed responses and maintain clarity about roles and responsibilities.

Follow-up: Staff will collect suggested civic organizations from board members, populate the liaison table, check for overlap with staff relationships, and return the revised document for board review at the next meeting.
