The IT and Central Services Committee approved Central Services’ July activity report and voted Aug. 1 to forward budget items to the county finance office for approval. The committee met at 9 a.m. and took routine approvals for minutes, monthly reports and bills.
Central Services staff reported production and cost figures for July. Tracy, Central Services staff, said the office produced 46,584 microfilm documents, processed 1,540 feet of material and generated 42,842 scanned images in July, and listed monthly bills totaling $23,126.91. She also reported several postage and toner savings items and vendors’ reimbursements.
Committee members discussed budget lines for maintenance contracts, election postage and office supplies. Tracy said she reduced a general postage line to $5,000 because election postage is drawn from a separate account and kept the election postage estimate at $70,000 to cover two elections and vote-by-mail costs. She proposed raising office supplies and equipment to $220,000 to cover anticipated cost increases and new equipment.
The committee approved the Central Services report and subsequently approved the department’s bills. Joanne, committee member, moved to approve the report; Kendra seconded the motion and the committee voted unanimously. Nancy and Kendra moved and seconded approval of the bills; the motion passed unanimously.
The committee also voted to forward Central Services’ budget materials to the county finance office for review. Joanne moved that the committee forward the budget packet to finance, Kendra seconded and the motion passed. Stephanie, finance staff, asked that committee members sign the forwarded motion packet so finance would have the approvals on file.
The committee chair, Kathy Owens, closed the item after members confirmed questions were addressed. The forwarded budget will be reviewed by the finance office as the next procedural step.
Less urgent clerical questions arose during the meeting. One member asked whether voter registration cards must be mailed; Tracy said it is “legally” required by the state, a point noted for follow-up with county elections staff. The committee did not take additional action on that question during the meeting.
The meeting moved on to an IT report and other items after the budget approvals; the committee adjourned following routine motions to accept subsequent reports and pay related bills.
