Council approves three‑year Granicus contract to manage streaming and AV for council and boards

The Alpharetta City Council on July 28 approved a three‑year remote meeting management and streaming agreement with Granicus to modernize chamber audio‑visual operations and outsource production of council and board meetings. City IT staff described recurring audio, camera and streaming problems with the existing in‑house setup and recommended a managed service approach. The Granicus contract replaces three existing cameras, removes certain dais equipment, provides a dedicated Granicus producer in Dallas to produce meetings in real time and ties the service into the city’s agenda management system. The package includes 100 meetings in year one and a capital equipment install. Director Montgomery said the arrangement is intended to increase reliability and reduce the staff burden for meeting production. “The idea of a managed service…give a professional look and feel of the meetings,” he said. The agreement is a cooperative procurement through NCPA. The first‑year operating cost is capped at $115,823.46 and a capital equipment component of $55,674.20 was noted; the agenda listed a three‑year operating total of $660,149.25. Council voted unanimously to approve the contract. Council members asked whether recordings would be retained and how Granicus integrates with the city’s YouTube and agenda systems; staff said streamed meetings would be recorded and the vendor will maintain records and integrate with the agenda platform. Council also asked about vendor reliability; staff cited peer jurisdictions, including Sandy Springs, which use the system and reported positive experience. The vendor will install hardware, provide remote production personnel and operate the streaming/recording services. The contract is within budget for FY26.
