Trustees ask city clerks office to add discussion highlights to pension minutes

At the boards approval of minutes from the previous joint quarterly meeting, Trustee Gaylord Candler objected to the level of detail. "I read that the minutes are meant to convey some sense of discussions that we have as well, and that is just not the case," Candler said, asking that major points of discussion be captured rather than a bare-bones record.

Trustee Georgette Dumont said she had raised the matter earlier with staff; staff asked Anne from the city clerks office to respond but Anne said she had not been involved in the previous discussion. Staff later agreed to consult the city clerk's office and return with options. "Let's note in the minutes that board concern was raised about the lack of points of discussion in the minutes and that we'd like some feedback on if there is a policy toward the bare bones minutes or if we can include major discussion topics in it," a staff member suggested.

The minutes were approved after the discussion; the board requested the clerk's office provide guidance on whether and how to include summary discussion points in future minutes.
