The Hutchinson County Commissioners Court approved an amendment to the sheriff department’s Samsara fleet-management contract to add county-owned vehicles for GPS tracking, fuel-use reporting and maintenance alerts. The court voted to include the county vehicles under the same Sourcewell contract cited by the sheriff’s office, with a trial period to precede full deployment.
County staff said the system provides vehicle location, idle-time and diagnostic-code data and digitizes fuel receipts for faster monthly reporting. The proposal discussed device pricing of about $168 per year for certain tags and about $234 per year for on-road vehicle units; staff presented an estimated annual total of roughly $12,700 once all assets on the county asset list are included and a 25% Sourcewell discount is applied.
County staff told the court Samsara can be set up with tiered permissions so the sheriff retains view access to his fleet while the auditor and commissioners can generate department-level reports. Commissioners also discussed heavy-equipment compatibility, noting some equipment manufacturers run separate paid telematics services that may not be directly accessible but that Samsara offers smaller tags for light equipment trials.
Staff recommended starting the program on a trial basis before an October 1 budgetary go-live. The court approved the contract amendment and directed staff to work with the sheriff’s office to deploy a trial and finalize line items for the next budget year.
