City approves 60-month Xerox agreement estimated to cut monthly costs about 37%

The Navasota City Council approved a 60-month sales-and-service agreement and a corresponding master lease Monday to replace the city's Xerox copiers, a deal staff said reduces monthly costs and upgrades equipment. "We did go out and shop around, got 3 other pricing," Luca Diosato, Development Services Director, said. "This new proposed agreement for 60 months with the same company ... a little over $1,700 a month. So that's a big cost reduction." He estimated about a 37% monthly reduction compared with the existing $2,400-ish monthly cost while upgrading copiers to color capability. Legal counsel reviewed the proposed agreements, and the council approved a motion by Mr. Gould, seconded by Mr. Harris, to accept the service agreement with Dadehill Office Technology Corporation and the master lease with Xerox Financial Services, LLC. Staff said equipment will be replaced and phased in to avoid operational disruption. No specific implementation costs beyond the monthly lease were disclosed at the meeting. The procurement was described as the best value from received proposals.
