Board approves FleetSoft purchase, training and annual license for county fleet management

The Saint Joseph County Board of Commissioners voted June 24 to approve purchase of FleetSoft fleet-management software, associated equipment and on-site training to centralize vehicle maintenance records and parts inventory across county departments.
Skye Meadors of the Department of Infrastructure Planning and Growth described the county’s need to digitalize historic paper vehicle maintenance files after staff turnover created gaps in institutional knowledge. Meadors said FleetSoft will track repairs, parts used (with barcode scanning), preventive maintenance schedules and parts inventory and that the software is web-based.
Meadors provided cost figures: an initial software license and necessary equipment of $22,080.35, an on-site training cost of $4,990, and an ongoing annual licensing fee of $11,232. He said the contract is year-to-year with no multi-year minimum and that staff reviewed other vendors before recommending FleetSoft. Commissioners approved the purchase by voice vote recorded as: Commissioner Morton — Aye; Commissioner Hazen — Aye; Commissioner Baxter — Aye.
A commissioner thanked staff for evaluating alternatives despite the contract being for services; Meadors said the county did an online search and demonstrations before recommending the vendor.
