District to re-advertise resolution after clerical error doubled capital-projects extension

District finance staff told the Eagle School District Board that a clerical error in a budget-extension resolution accidentally presented the district’s full capital projects budget instead of just the extension amount. The error affects the capital projects fund extension and requires the district to re-advertise the resolution and seek board reapproval.
At the meeting Christa (Staff member) explained the error: the original capital projects fund had been about $4,000,000 and the intended extension was roughly $7,000,000, “but the budget extension was over 7,000,000 for a total of 11,000,000 and some change. When we did the resolution… it was 7,000,000. It should have been 11,000,000.” She said she had not realized budget extensions must restate the total budget rather than only the added amount and described the issue as a clerical mistake.
Christa said the district will place an ad in the newspaper and present corrected resolutions for both the capital projects fund and the general fund next month. She noted the fiscal year does not end until Aug. 31 and that staff are working to minimize late invoices and carryover workload. “We are only buying what's absolutely necessary, to put us in the best possible position for next year,” she said.
The board did not take final action on the corrected resolution at this meeting; Christa said the correction would return for board consideration after the required public notice and re-advertisement.
Board members asked questions about timing and staff said they would watch expenditures closely through the end of August and put corrected advertisements in the paper for public notice.
