Story County approves six‑month extension of CitizensServe while staff migrate legacy permits to new GeoPermits system

Leanne (staff member) told the Story County Board of Supervisors on July 22 that staff have delayed completion of the migration from CitizensServe to GeoPermits because of staffing changes and scattered legacy data across multiple storage locations. She asked the board to approve a six‑month extension of the CitizensServe subscription for 12 users so staff can consolidate historical permit data and complete a single transfer into GeoPermits.
Leanne said staff originally considered a three‑month extension but, after consulting with Alyss Wignall, opted for six months to give county IT time to join the process. She advised that historical data exist in several places — CitizensServe, the G drive, Tyler and other locations — and that a deliberate consolidation effort would make the GeoPermits transfer easier for staff.
The board approved a motion to purchase a six‑month CitizensServe subscription for 12 users not to exceed $16,200. Leanne said the expense was not budgeted and asked for the board’s approval to proceed; she said the county receives no per‑user price break below 12 users and recommended dropping from 14 to 12 users for the extension.
Leanne said, after the GeoPermits migration, the county will adopt standard operating procedures to ensure new records are kept in the GeoPermits system going forward.
