Organizers reported savings on barricades—roughly $1,000 to $1,800—by acquiring them through a local contact (Ruben). The committee agreed to maintain the same award categories (bronze, silver, gold) and to prevent a repeat of last year’s shortage by ensuring the medal order matches the final category list. Members said they will coordinate with Ruben on correct category counts and timing.
On awards timing, the committee discussed using race-chip data to identify finishers in real time so first, second and third place winners can receive awards promptly; members said they would prepare to present awards immediately to avoid losing winners who leave the event. The committee also discussed expanding sponsorship outreach for medals and a $10,000 sponsorship target for a headline sponsor.
On apparel, the committee decided to reallocate $150 from a plaques-and-trees line item to the shirts line item to cover polo shirts and other apparel for the event; staff confirmed the line item label for apparel is VCOM (veterans committee shirts) and that vendor digital files would be prepared for printing. No new contracts were signed at the meeting; staff will finalize medal counts, apparel sizes, barricade logistics and volunteer assignments and report back.
