District moves to three-year VMware agreement after vendor'driven license-price surge

District technology staff told the Exeter Township School Board on July 15 that a substantial licensing change by VMware after acquisition prompted the district to negotiate a three-year agreement that moderates a sharp price increase.

Officials said a Broadcom acquisition led to changes in VMware's licensing approach, moving from support-only fees toward an annual license model. "Ultimately, the company was bought out by, another company, Broadcom, and they made significant changes to their licensing structure," a district technology staff member identified in the meeting as Sheldon said. He added the vendor moved to "an annual license" model and that the district explored alternatives before returning to the reseller.

District staff said an initial renewal presented roughly a 70% increase over the prior year. By negotiating a three-year contract and accepting a multiyear discount the district reduced the effective increase to about 35% and locked an annual rate of $20,026.88 through Aug. 29, 2028. Staff told the board they have used VMware's virtualization platform since at least 2013 and remain satisfied with the product.

Board members asked about reasons for the sharp increase; staff explained the acquisition and licensing changes and said they reviewed other vendors but were not yet comfortable switching. The three-year approach was presented as a way to achieve cost stability while avoiding a longer-term lock-in.

The board was informed the multiyear agreement balances budget predictability with flexibility; the finance committee noted that staff will continue to monitor options and vendor performance. The board approved the purchase approach as an informational item in the committee report.
