Commissioner Connie and Kristen led a discussion on Newcastle Days planning and vendor placement. Connie said the vendor application deadline is firm: “vendor applications need to be in by the eighteenth, and she is not joking,” and commissioners reiterated that late applications may not make the waiting list because of high demand.
Staff and the subcommittee described a trade-off between concentration of booths in the main field and the total number of vendors the site can hold. Amy, the city’s events and recreation coordinator, said public works indicated there is room for an additional row on the main field but that change could reduce total capacity. Commissioners said sponsorships guarantee vendor spots; Amy noted there are 28 sponsors who are contracted for booths, which could limit open spaces for other applicants.
Commissioners reviewed past attempts to place arts vendors on the hill and tennis-court areas and said those locations drew less foot traffic. The subcommittee proposed moving arts vendors into the main field to increase visibility, with possible compromises on the total number of booths. Public works staff will finalize layout and return recommendations to the subcommittee.
The commission confirmed a mini parade around the park for Newcastle Days and said Hazen marching band is scheduled to perform this year; organizers cautioned that future band availability may affect dates. No formal vote was taken at the meeting.
