A President's Council presenter reviewed detailed guidance for PTA and SLT elections at the May 19 meeting, circulating a script and sample slides districts may adapt for school elections.
Key administrative requirements presented included: PTA bylaws should be updated every three years and a copy filed with the principal; the PTA must complete an annual financial report covering 07/01/2024–06/30/2025 by June 30; and the proposed budget should be presented at the June membership meeting. The presenter said the PTA should keep the original SLT/PTA election certification form and the parent coordinator should retain a copy.
Election format and process: the presenter repeatedly emphasized that elections must be held either in person or virtually; hybrid meetings are not allowed. For virtual elections, the presenter recommended a poll for voting; for in‑person meetings a counted ballot. The meeting should include a chair and a note taker (timekeeper); the presenter recommended selecting an election chair who is not a candidate. Teachers may vote in the PTA portion only, not in the SLT parent‑member votes.
The presenter walked through a recommended script: opening the election portion, reading roles and responsibilities for each office (president, recording secretary, treasurer), allowing one minute for each nominee to speak, and conducting votes in alphabetical order. Schools were advised to fill mandatory positions (president, treasurer, recording secretary) by June; if mandatory positions are not filled, an expedited election should occur in September.
The presenter said the President's Council will share the template script and sample slides with parent coordinators and PTA presidents and offered to provide technical assistance for obtaining IRS employer identification numbers and other administrative needs.
