Cooke County’s treasurer, speaking to the commissioners court on June 25, requested authorization for a full‑time staffer to handle a growing daily workload of deposits, credit‑card reconciliations and NetData posting required to maintain timely bank reconciliation and monthly reporting.
The treasurer said her office currently processes about 1,500 credit‑card transactions per month — roughly 18,000 per year — that require daily reconciliation across multiple processors. “Every one of those… I should be doing that daily to ensure that we are getting what we’re supposed to be getting,” she said, noting five different processors and the time required to pull reports and reconcile each deposit to the bank.
The treasurer also described constraints in the county’s financial software (NetData). She said the system has separate receipt and posting functions; to perform bank reconciliation she must manually enter deposits in NetData’s posting module so they match the bank records. Other treasurers she consulted perform both functions the same day or use the auditor’s office as a reviewer before posting. The treasurer said she has built spreadsheets to track flows but that a full‑time assistant is needed so the office can be staffed continuously from 8 a.m. to 5 p.m., cover lunch and breaks, and complete daily reconciliation tasks.
She said her current part‑time associate is “busy from 9 to 1 every day” and that keeping the office open for the public during all business hours and completing daily financial controls justifies the additional position.
Commissioners did not take immediate action; the treasurer requested the position be considered in the FY2026 budget process and emphasized that accurate and timely reconciliation reduces risk and improves transparency in county finance operations.
