District finance reports digital shift: hundreds of thousands of documents converted, savings from P-Card and Amazon automation

Bonnie (finance staff) reported departmental accomplishments including digitizing personnel files and payroll records, piloting paperless accounts-payable approvals, increasing ACH payments, and automating Amazon purchase orders.
Bonnie told the board the district converted more than 120,000 documents in the transition to electronic personnel and payroll files and reduced physical file storage dramatically. The district automated Amazon purchase orders and reported about $12,000 in savings from vendor discounts, and the P-Card rebate for the year was reported as more than $5,500.
Other fiscal metrics presented: Bonnie reported the district processed nearly 1,250 W-2s totaling about $43,000,000 in wages and issued more than 20,000 paychecks over the year. The district also increased employee participation in retirement-savings presentations and reported a 9.9% increase in individuals contributing to retirement savings compared with the prior year.
Why it matters: The finance office framed the paperless and automation work as efficiency gains that reduce manual processing time for schools and central office staff and lower paper-storage needs. Bonnie said the district is piloting an electronic timesheet process for summer-school contracted staff who cannot use the district time system.
What's next: Finance will roll out additional paperless approvals in accounts payable and continue outreach about employee financial-wellness offerings. The board acknowledged the operational and employee-wellness work as positive progress.
