Committee members reviewed a draft Policy 8113 on extreme-heat-condition days and agreed to send it to the full board for adoption, with staff preparing a regulation that details mitigation steps and reporting.
A staff member told the committee the policy implements a new mandate from the governor and the legislature. The draft outlines steps the district must take “to the extent practicable,” including activating heat-mitigation measures as temperatures approach defined thresholds and providing access to air-conditioned spaces. The policy directs staff to plan for calendar adjustments as needed — similar to planning for severe-snow conditions — so the district maintains required instructional time.
A committee member asked what would happen if a room reached 90 degrees after mitigation steps were not effective. Staff responded that the policy is site-specific and that mitigating actions vary by building; in extreme cases the district may dismiss early if the building conditions create a health-and-safety issue.
Committee members asked staff to draft a clear regulation describing the operational steps (use of alternative air-conditioned spaces, blinds, system maintenance and replacement, and the role of the health-and-safety committee for reporting broken HVAC). The committee also asked for an option to request status updates from facilities staff (Mister Velez was named as the likely source of building-condition reports) so the board can track compliance and remediation.
The committee agreed to move Policy 8113 to the full board for first read and adoption, with staff to prepare the regulation and provide documentation later about building conditions and ongoing system upgrades.
