The Fairfax County School Board Public Engagement Committee on June 18 approved a plan to assemble a centralized folder of committee materials, a school board member toolkit, and a short training program for board liaisons and advisory committee members.
Committee member Ms. Anderson presented a draft folder structure and asked the clerk's office to populate a 2024–27 term folder with advisory committee and standing committee materials, meeting minutes, reports, nomination forms and sample templates. She said the goal is to provide historical knowledge and make it easier for future board liaisons to find prior work and avoid duplicating effort.
"The benefit of doing this means that we're going to be able to actually have some sort of historical knowledge in that folder that is going to be bridal," Ms. Anderson said (verbatim excerpt in transcript; wording reflects speaker's remark). Committee members and staff discussed who should maintain the folder, permission levels (view-only vs. add files), and staff responsibilities for keeping documents current.
The clerk's office said it can create the top-level web page and link to annual reports and committee charges; staff noted BoardDocs contains advisory committee reports back to 2020–21 and acknowledged BoardDocs is not ideal for this use. The committee asked for an "overarching" document listing all committee charges and suggested linking to committee-level archives so volunteers and prospective members can access prior reports and meeting minutes.
Members discussed a proposed training program for advisory committee chairs and board liaisons: a series of short videos (no more than one hour in total) plus micro-modules to allow users to jump to needed content, a one-minute recruitment video for prospective volunteers, and a method to track completion. Ms. Hall (staff) said options for hosting and tracking completion are being explored with IT.
The committee asked the clerk team to: populate the 2024–27 folder in BoardDocs (or an alternative platform), create or link to an annual charges overview, add nomination and quarterly-update templates to the toolkit, and return with a proposed hosting/tracking plan and training outline before the start of the next school year. No formal vote is recorded beyond the committee's agreement to proceed and the chair's adjournment of the meeting.
