At its June 17 meeting the Nantucket Roads and Right-of-Way Committee agreed to continue modernizing meeting support and to prepare for review of a large draft report expected to land with the committee this summer.
Tracy, land specialist, told members the town is using a transcription system (Otter.ai) that links audio and video, identifies speakers and uploads materials for minutes generation. "It is extremely accurate," Tracy said, describing how the system can attach audio to transcript lines and ease minutes production. The committee discussed using the tool so chairs could circulate draft minutes generated from Otter.ai rather than relying on volunteer note-takers.
Members debated meeting format and scheduling. The select board's appointment schedule was expected to push committee reorganization until after July 9; the committee agreed to wait for select-board appointments before holding its own officer selection. Committee members also expressed a preference for retaining a Zoom/hybrid connection so off-island or seasonal members and interested residents can attend; technical setup will continue to be coordinated with MCTV and town interns.
Committee members were also told they will receive a draft "Harvard" report of about 80 pages containing many recommendations relevant to rights-of-way. Phil (committee member) said the draft includes roughly 20 to 25 recommendations that the committee will need to review and decide whether to adopt, modify or assign to other parties. The committee agreed to circulate the report in advance, allow members time to read it, and then discuss recommended changes at a subsequent meeting.
Next steps: town staff will circulate meeting templates and the Harvard draft when ready; committee chairs will decide whether future meetings will be hybrid or in-person based on member availability and the technical setup. The committee asked staff to ensure draft minutes created by Otter.ai are available for member review ahead of meetings.
