Board delays benefits-management renewal to let IT evaluate overlap with planned ERP

The Brevard Public Schools board voted to remove an employee-benefits management renewal from a group approval and asked Information Technology and Human Resources staff to review the contract for overlap with an upcoming enterprise resource planning (ERP) system.

During discussion of procurement item G1, board member Mr. Susan moved to pull letter A — the employee benefits management renewal — for separate review. He said the district is implementing a new ERP system and asked the IT department to evaluate whether the renewal would duplicate functionality. "I would like to have our IT department…put it back on the agenda for the 24th," Mr. Susan said, referring to the next board meeting date mentioned in the discussion.

The motion to pull G1A passed on roll call. Board members discussed contract terms and the timing of open enrollment; staff clarified the renewal would allow the vendor to continue service during the current open-enrollment cycle if no alternative is in place. District counsel/staff noted the board’s authority to provide notice under existing contract terms may be limited by contract language.

The board then approved the remainder of the procurement group as amended. Superintendent/administrative staff were instructed to have IT and HR review the renewal for potential savings or duplication and report back at the Oct. 24 meeting so the board can decide whether to proceed with the renewal or modify terms.

No final contract cancellation or award decision was made at the meeting; the item was pulled for staff review as directed by the board.
