The Worcester Arts Council’s outreach subcommittee reviewed plans to update its community survey, improve mobile access and expand incentives to boost response rates and recruit volunteers at public events.
Victor, an outreach committee member, said the survey referenced 2024 and needs to be updated to 2025 and suggested making the survey mobile-friendly by using QR codes or tablets at events. He recommended asking past grant recipients to include a blurb in their post-event communications and leveraging artists’ social channels to increase reach.
Committee members discussed varied incentive options instead of a single $200 restaurant gift card — for example, multi-option prize bundles that could include tickets donated by local venues (the chair offered to connect committee members with marketing contacts at Hanover and JMAC and to discuss THT season tickets). They also proposed a text-to-number option to auto-forward respondents to the survey and a small-table presence with attractive swag to draw attendees to the survey.
The subcommittee agreed to create a sign-up sheet for volunteers at the Out to Lunch series events, confirm dates via a shared sign-up, and consider staggered prize packages to increase the number of winners. Members emphasized avoiding over-surveying attendees and coordinating with event hosts who may already collect contact information.
