Staff said the reception will open at 5 p.m. for mingling and check-in, with program remarks starting at 6 p.m. The chair said Sean Connolly will provide a roughly 15-minute introduction; Fanta and Brian Smiles will perform; and a deputy from the Massachusetts Cultural Council (named David in the meeting) was expected to speak. The group also discussed inviting the mayor and allowing additional city representatives if available.
The council contracted The Works Coop, a local print collective, to produce about 50 canvas art-supply bags stamped with the Worcester Arts Council logo and the phrase “make more art.” Members described the bags as containing a cup, stickers and a hoodie; staff said they would distribute bags to artists who check in at the event.
Members said the event is expected to come in under the originally requested budget; exact totals were not specified at the meeting. Council staff noted some purchases may need to be covered out of pocket and submitted for reimbursement until the council’s Divvy card arrives.
Councilors assigned setup support on the night of the event, with one member planning to arrive around 3 p.m. to organize bags and tables. No formal votes were required for event logistics; the council agreed to proceed and to finalize remaining details by email.
