The city engineer told the Administrative Services Committee that the controls upgrade project had faced delays but is now ready for contract closeout. The engineer requested authorization to decrease the electrical contract with Patricia Electric Incorporated by $73,645.16 to remove unused contingency funds and allow final closeout.
The engineer said contingency funds will not be used and described the action as necessary to let the contractor relinquish claim to unused allowances. He said the final cost for the project will be $2,196,954.84 and noted the project was originally bonded and that roughly half of the cost is covered by a Department of Energy grant; closing the contract is a prerequisite for submitting the project for DOE reimbursement.
Councilors moved and approved the reduction and closeout by voice vote. Staff indicated the closeout will let the city file for federal reimbursement under the DOE grant program.
The action finalizes project accounting for this contract and allows staff to pursue grant reimbursement; no new work or change to scope was described during the discussion.
