Board approves boardroom AV, JTL IP phones and north-auditorium projector contracts

Committee members reviewed bids and staff recommendations. The boardroom AV low bidder was Keystone Fire and Security (listed as the low bidder in the agenda materials); Integra1 was the low bidder for JTL IP phones at $24,004.69, and Applied Video Technology was listed as the low bidder for the North Auditorium projector screen at $30,524.11. The board approved all three contract awards by voice vote.
During discussion, committee member Keith (committee member) raised concern that only two contractors submitted bids for the boardroom AV replacement and questioned whether companies primarily known for alarm systems had the right expertise for an integrated AV replacement. Josh and Brian (staff members) explained that Keystone/CSI has historically performed integrated PA, alarm and AV work for the district and that Keystone Fire Protection had purchased CSI, which had completed many of the district’s prior systems; Josh noted that one AV firm did not attend a mandatory pre-bid meeting and therefore did not bid.
Why it matters: the upgrades replace aging equipment the district says was installed in 2008–2009; staff said the intent is an intuitive integrated AV system for meetings, streaming and community use. Committee members asked staff to ensure specifications matched the district’s professional AV needs and to document the bid outreach efforts.
Next steps: contracts were approved and staff will coordinate implementation and training; staff also said they will keep pursuing vendor outreach for future procurements and will monitor integration with flooring and wiring work at JTL.
