The Sweetwater County Board of County Commissioners on June 3 unanimously approved Resolution 25-06-CL-01, a $47,000 budget amendment to move unspent elections operating funds into the county clerk’s operating fund to cover unexpected remapping costs.
Accounting specialist Rebecca Romero told the commission, "Yes, this budget amendment will cover the cost that we incurred to remap the system, due to the changes to the mill levies." Romero said the remapping was necessary after changes to mill-levy reporting caused Taxwise and Munis to stop communicating correctly, requiring manual remapping and account reconciliation.
The amendment was introduced during the meeting’s public-hearing portion. After Romero’s explanation, Commissioner Richard Jones moved to approve the resolution, saying, "Move to approve resolution 20 five-zero six-zero CL-zero 1 budget amendment in the amount of $47,000." Commissioner Slaughter seconded the motion. Chairman West called for a voice vote and declared the motion unanimous.
Romero described the technical cause: when component units no longer received a mill levy under the new method, the Taxwise and Munis systems required remapping and reconciliation to ensure taxes were posted to the correct accounts. Commissioners asked clarifying questions about which levies had changed before voting.
The amendment closes the immediate funding gap the clerk’s office reported and authorizes the transfer of $47,000 for the remapping, reconciliation and related unforeseen elections expenses. The county will not require further action to enact the transfer following the commission vote.
The clerk’s office will proceed with the remapping work; Romero indicated she would follow up with commissioners if further expenditures or complications arise.
