Clerk of Superior Court seeks intergovernmental agreement to adopt digital evidence portal

The Clerk of the Superior Court asked supervisors to approve an intergovernmental service agreement that would allow the county to use the Administrative Office of the Courts’ contract with Thompson Reuters for a digital evidence portal.
Rachel Grama, deputy clerk of court, said the portal will allow digital intake and storage of evidence, reduce reliance on physical evidence movement and storage, and is already in use across Arizona counties except Apache. Grama said the funding will come from the county’s restricted digital and document evidence storage and retrieval conversion fund, not from the General Fund, and that the platform charges $5 per case when used.
County staff characterized the item as operational and said it reduces storage needs and increases security and chain‑of‑custody controls. The Board did not act at the work session; the item will appear on the regular agenda for approval.
