A Policy Subcommittee member asked on May 27 for a district policy governing how individual school committee members request information from administration. The subcommittee asked the superintendent to prepare a draft policy for the next subcommittee meeting.
Members said the volume and nature of member requests can impede administrative workflow and expressed interest in a documented process โ potentially a portal โ that would create records, set priorities, and provide rationales when requests are denied or delayed. The superintendent said a policy should be crafted carefully to avoid hampering legitimate oversight or creating unreasonable bureaucracy; she noted earlier attempts to use a portal had mixed results because members sometimes use multiple channels.
Committee members suggested the draft policy should include guidance for when a request should be escalated to the full committee and recommended documenting the rationale and status of requests. A member proposed that, when a request is denied or deferred for being too voluminous or low priority, the administration provide a written justification and the matter could be brought to the full committee for a majority vote if the member disputes the decision.
The subcommittee voted to ask the superintendent to prepare a draft policy and to return it to the subcommittee for consideration. The superintendent agreed to present a draft at the next Policy Subcommittee meeting.
