Staff recommends Athletic Club community room as temporary May 2025 polling site during conference center renovation

Ashley, a town staff member, told the council the town needs a one-year alternate polling site for the May 2025 general election because the Conference Center will be under renovation and unavailable.
Staff recommended using the Athletic Club’s community room for both early voting (three weeks) and election day. "With the renovation of the conference center ... the conference center will not be available for voting in May of this year," Ashley said. Staff described the community room as roughly 1,000 square feet and said it can accommodate the voting equipment and provide ADA access and parking. The town plans to set up a queued entry using stanchions and curtains to separate voters from club patrons.
Jana, a representative of the Athletic Club staff, told the council the club would relocate regularly scheduled programs within the facility during the voting period and that front-desk staff can monitor access. Jana said the club has a separate storage area and a kitchenette that could be used by poll workers while voting is under way.
Council members asked whether a smaller room near the stairwell — described in the meeting as a roughly 400-square-foot break/storage room — might work. Staff and Dallas County election representatives previously reviewed that space and concluded it was too small for the expected equipment and circulation. "Dallas County did not feel like it was large enough and would have the circulation that it needed to be able to space everything out," Ashley said.
At the meeting staff said an ordinance to formalize the temporary relocation will be presented to the council next week, and staff will notify Dallas County of the planned change. There was no formal vote at the meeting on the site change.
Ending: Town staff asked council members for questions and said they would proceed with the ordinance and county notification; early voting is expected to occupy the Athletic Club for about three weeks plus election day in May 2025.
