City Clerk to roll out CivicPlus agenda/minutes software to improve public access

Gladys, the city clerk, told the Springfield City Council Committee of the Whole on May 21 that CivicPlus will replace the current agenda/minutes system with an updated interface and improved usability.
The clerk said weekly training with the vendor began in recent weeks and that department staff expect the new system to make agendas, minutes and meeting videos easier to find on the city website. The upgrade is intended to improve usability for councilors viewing agendas remotely and to allow staff to extract requested data more quickly.
Councilors welcomed the change and asked for continued attention to hybrid meeting capabilities and accessibility for remote participants. The clerk noted that the new software will integrate agenda content, minutes and video links and should make it easier for councilors and residents to locate materials online.
No vote was held; the cost is reflected in the clerk’s FY26 OTPS and software line items and training will continue into June.
