Volunteers offered to collect images from a grants folder on Google Drive and assemble a display.
Members discussed program format: a short welcome and a brief slate of speakers (one- to two-minute remarks), a rotating slide deck of grantee images, and the option to pause the slideshow for brief live remarks. The council also discussed inviting grantees to speak briefly at the event and limiting individual remarks to keep the program concise.
Organizers raised signage and wayfinding concerns after last year’s room change. They asked staff to confirm exterior signage and maps to direct visitors to the lower-level art studios (the event entry is near a greenhouse off Bayview Road). Chrissy was asked to coordinate event signage.
Council members also discussed hospitality details: Wen Li (a new member) was expected to provide background music and possibly a small ensemble; members requested confirmation of how many musicians and any equipment needs. The council discussed alcohol service rules: because the event may include high-school–age participants, members noted that serving alcohol without a bartender or appropriate controls could create liability issues. They agreed to follow venue rules and, if necessary, keep portions of the event dry when minors are present.
No formal votes were taken; members agreed to proceed with the slideshow plan, collect images, finalize signage and confirm performers and any food or beverage arrangements before the event.
