Big Walnut Local Board of Education Record Commission members voted May 19 to approve the district's annual records disposition and authorized staff to submit the records-retention list to the Ohio Historical Society for certification.
The decision implements the commission's schedule to hold a records-disposition meeting once per calendar year and to remove records before the end of the school year. "So that what you see here before you is is our records retention list. And all it is is we just were getting rid of the records an additional year from the last time," a staff member said during the meeting. The staff member added, "we're required to have this meeting once a a year," and said the commission would "send the form to the Ohio Historical Society and then once they certify and send it back, we can go ahead and get rid of those records."
The commission first approved the meeting minutes by motion and second; Record Commission member MacLean, Record Commission member Gooding and Record Commission member Graziosi each voted yes on the minutes. The records-disposition motion likewise received a motion and a second and passed with the same members recorded voting yes. The meeting closed after a motion to adjourn that was seconded and approved.
During discussion the staff member said the retention list extended the disposal schedule "an additional year from the last time" and that the annual meeting was meant to ensure disposal before the end of the school year. The staff member described no specific records by name or retention period at the meeting and said the commission would await certification from the Ohio Historical Society before destroying any materials.
