Canon lease due; commissioners urge market check as vendor signals large increases

Bonner County commissioners and extension staff discussed the extension office copier lease during a budget workshop after the vendor indicated lease costs would likely rise when the current contract ends in December.
The extension educator said the current Canon lease expires in December and that Canon provided a renewal quote but could not guarantee rates beyond June. She said the renewal quote the vendor supplied for an immediate renewal was reflected in the budget line for the next lease period.
A commissioner cautioned against automatically accepting a vendor’s anticipated increases and urged staff to solicit bids from other suppliers. “When you start just guaranteeing your price increase, it's not the machine. It's the when you use a company over and over and over, we get used to being with the company. And so then we get used to the guaranteed 4% increase kind of stuff,” the commissioner said. Commissioners noted that printer/copier lease pricing often embeds the cost of toner and maintenance and suggested comparing alternatives before signing a new contract.
No contract award or formal direction was made at the workshop; commissioners asked staff to solicit bids and return pricing comparisons before committing to a renewed lease.
