The Southborough Youth Commission voted May 15 to amend its position descriptions to reflect administrative changes in how the Youth and Family Services director’s performance evaluation will be handled.
The commission discussed removing a line that previously suggested the commission chair would conduct the director’s performance evaluation; the updated language reflects that the Select Board is the appointing authority and that the chair may provide input rather than lead the evaluation. After discussion the commission moved and approved an amendment to the positions document; a roll call recorded five ayes and the motion passed.
Members also reviewed chair responsibilities and practical requirements for officers, including facilitating remote (Zoom) meetings under the town’s new multi-factor authentication process and maintaining the town email account for official business. During discussion commissioners said the chair should be prepared to coordinate with IT to obtain meeting access codes and to check the town email regularly.
The commission opened nominations for officers ahead of an election planned for the June meeting. Nominations recorded during the May meeting included Melissa (nomination offered), Sarah Micas for secretary and Susan (nomination offered) for vice chair. Commissioners agreed to present an official round of nominations and hold the election in June when more members are present.
Commissioners also discussed the chair’s limited authority to approve small expenditures from the SYFS donation account; the committee noted the amount for that threshold was discussed in the meeting but not specified in the record.
The changes to the position descriptions will be submitted with the meeting packet and posted per town procedures; commission members said the chair, vice chair and SYFS director typically meet with the administrative assistant about a week before each meeting to set the agenda.
