Commission hears summer events update; Regency to host volunteer appreciation and sponsorships near goal

At the May 14 Community Activities Commission meeting, Events and Recreation Coordinator Amy updated commissioners on summer programming and sponsorship outreach and announced that Regency Newcastle will host the commission’s volunteer appreciation event as an in‑kind donation.
Amy told the commission that summer event planning is underway: the city has issued a call for food vendors and had “25 vendors” at the time of an earlier report and is now “closer to over 30 vendors” who have applied. Staff also described summer camp offerings, including Skyhawks camps and new programs using Lake Borgne Shelter, and ongoing volunteer recruitment and communications.
On sponsorships, commissioners reported 102 businesses identified in Newcastle, Renton and Bellevue; staff had contacted 70 businesses and 21 sponsors had committed, with 11 of those still pending. Amy said the commission has reached about $44,500 toward a $50,000 target and that “if we can get 11 more sponsors at $500 each, we’ll hit our goal.” Commissioners planned another outreach push to the remaining prospects.
Concert programming and themed nights were discussed in detail. The commission described four concerts with proposed themes: a July 23 “Love Local” night (planned to honor volunteers and feature local vendors), a retro glam night, a team‑spirit night, and a closing island/reggae night. Commissioners discussed activities, vendor food types, potential kid‑friendly activities and timing; staff said the schedule for food trucks and bands is set for this summer but adjustments could be considered in future years.
Amy announced that Regency Newcastle will host the volunteer appreciation event on Sept. 17 from 5 to 7 p.m. Regency will provide tenting, tables, linens, foodservice and AV access as an in‑kind contribution. Amy said the venue and catering “is completely comped. Like, it is completely included. Venue rental, food, service, everything.” Commissioners discussed parking logistics and whether the saved meeting‑meal line item should be reallocated; staff said the meeting‑meals line is budgeted and would not automatically be repurposed without city manager or council guidance.
Next steps: staff will continue sponsor outreach and finalize concert flyers and promotional materials. Commissioners and the events subcommittee will follow up on vendor review, volunteer recognition plans tied to the July concert and logistics for the Sept. 17 volunteer appreciation event.
