Because registration historically produces both no-shows and unregistered walk-ins, the committee decided to cap online registration at 100 people but to pre-purchase 40 meals to ensure immediate needs are met while allowing some flexibility for walk-ins. The committee discussed charging a nominal fee for bingo and other events to limit no-shows, but that fee was not adopted for the senior social.
The motion approved the outlined budget parameters and directed staff to prepare the Eventbrite page and guest list with the 100-person cap and a limit per registration. Committee members suggested a per-reservation cap of up to six tickets. Members also asked staff to seek sponsors where possible to offset food costs and to ensure invoices and receipts are provided for any vendor payments. "If people cannot provide a receipt or an invoice, we're not using them," a committee member said when discussing vendor selection.
The motion carried by voice vote; staff will finalize vendor contracts, secure the DJ and post ticketing with the stated limits.
