Superintendent Ayers told the board estimated first‑year costs are about $2.5 million, roughly $800,000 less than last year. The new contract includes features the district said will help IT and procurement track print volume by location and automate security and performance updates.
Board members praised the cost reduction and asked about service and capacity. Member Rendon asked whether the change would limit copies for classroom teachers; district staff responded that the contract increases tracking and service but does not impose copy limits. Staff also said high‑volume schools can be assigned larger machines if usage patterns require it. Procurement said replacement of more than 450 large copiers will occur over the next year.
The board voted unanimously to approve the contract. District leaders said the award followed user testing and an evaluation committee that included end‑users and procurement staff.
