Miss Davis said the district’s prior policy provided a $6 per‑day meal allowance for trips, a rate staff and coaches said was insufficient for student travel. After consulting with an external consultant and the Arizona Department of Administration guidance, staff proposed language that ties the district’s daily meal allowance to the state standard so the dollar amount will update automatically as the state publishes new rates.
Board members approved the revised procedure (5‑213A) and made the new $17/day rate effective immediately to cover numerous end‑of‑year field trips. Staff noted student‑raised activity funds are not bound by this state guideline and can be used at student groups’ discretion.
The board said the change will reduce instances where coaches were personally supplementing meals on trips and will better align reimbursement with current costs. Implementation will be through the business office and athletic director for event scheduling and reimbursements.
