Committee members discussed using nearby restaurants and hotel restrooms rather than portable toilets and debated whether to allow on-site alcohol; the committee deferred final vendor licensing and insurance logistics to the contracted event organizer.
After discussion, committee members made and seconded a motion to set the event date as Oct. 11, time 4–10 p.m., location as described in the committee packet (parking lot adjacent to Main Street), and to accept the presented sponsorship package; vendors and final logistics were left pending staff follow-up. The motion passed on an affirmative voice vote.
The committee said it will rely on an experienced event contractor to secure permits, arrange food trucks and manage vendor placement; members flagged potential calendar conflicts with other town events and said staff should confirm the final date and avoid overlaps with larger municipal celebrations.
Committee members said they will return with a more detailed plan — including a finalized sponsorship form, vendor limits and assigned volunteer leads — at a subsequent meeting.
