Boyle County clerk rolls out DocAlert property‑filing notification to help residents detect fraud

County Clerk Casey McCollin demonstrated DocAlert on Wednesday, a complimentary online service that notifies users by email when a deed or mortgage is recorded in their name.
McCollin said residents can sign up through the Boyle County Clerk website by entering the exact name as it appears on their deed or mortgage; the service is run by the county’s website vendor, Software Management. After users sign up and confirm via email, DocAlert emails them each time a new deed or mortgage is filed in that name, including time and date of filing so they can act promptly if a transaction is unexpected.
Court members raised questions about how names appear on deeds — full middle name versus middle initial — and McCollin said staff will help residents look up the exact recording string so alerts match recorded documents. She also said county staff can provide printed instructions and help residents sign up in person.
McCollin noted that not every surrounding county participates in the same alert vendor; residents with property in multiple counties must sign up separately at each participating county’s website. She encouraged residents to enroll and said the county has paper instructions for people who prefer in‑office assistance.
No vote was required; the court acknowledged the program and the clerk offered to help residents register.
