Commission on Inclusion to publish resource list, run summer pop-ups and use assistive listening in council chambers

Stow City’s Commission on Inclusion voted to move forward on several outreach and accessibility projects: compiling a resource list for the commission page of the city website, scheduling three summer pop-up outreach events, coordinating printed materials and QR-enabled bookmarks, and using an assistive listening system being installed in the council chambers.
Staff and commissioners agreed to gather contact information and resource categories — including hearing, vision, accessibility, parking, recreation and mental-health resources — and to share those lists with the parks and recreation department so it can produce a flyer and a web page. Carrie (city staff) will compile submissions and circulate them for review before the materials are finalized.
The commission confirmed three pop-up dates at city parks: June 17, July 15 and Aug. 12. Events are scheduled for 6 p.m. to 7:30 p.m.; commissioners expect two volunteers per shift is a practical minimum. The group plans to distribute bookmarks with a QR code linking to the commission’s web page (the page will include the survey while it remains available). Commissioners asked that some printed copies also be made for residents who do not use QR codes.
City IT staff described an assistive-listening installation planned for the council chambers. According to the IT manager, the system will use a Wavecast unit installed in the AV closet and will stream audio over a local wireless network to two body packs, two headsets and two neck-worn audio loops. Commissioners discussed the option of moving future commission meetings to council chambers when that assistive listening capability is needed.
The commission also discussed the city’s Adopt a Spot planter program: plant pickup will be available Saturday, May 24 from 9 a.m. to 1 p.m., and volunteers will plant and maintain planters outside City Hall. Elizabeth volunteered to pick up plants on the morning of pickup.
Procedural action: At the start of the meeting a commission member moved to approve the minutes from the March 25, 2025 meeting; Stephanie seconded the motion. The motion was made, seconded and the meeting proceeded.
