The subcommittee discussed crafts for children, a meet-the-artist presence, a brief historical component and local vendor participation.
The subcommittee said the event will be held at the alley by the mural; members discussed staging the activity toward the back of the alley to reduce wind and to keep work away from any nearby dumpster. The artist, identified in meeting discussion as Mia, is scheduled to be available on the chosen date; the group also plans a historian presence from the Needham Historical Society to discuss local context.
Committee members prioritized low-barrier activities for families: finger knitting and a simple coloring activity tied to the mural’s bird imagery, with small take-home bird-seed packets for children. The group discussed recruiting the Black Sheep knitting shop to run knitting demonstrations, and asked local businesses to support the event by placing a notice in a window, donating small food items (cupcakes, cookies) or providing lemonade. The group agreed to print flyers to distribute to adjacent businesses and to ask businesses to display posters in their windows to publicize the event.
Members allocated outreach tasks and short-term next steps by consensus: Wendy (event planner) will contact the restaurant referred to as Cook about lemonade or participation; Joni will speak with Treat (cupcake shop); Jean will contact the Black Sheep knitting store; Tracy agreed to approach the restaurant referred to as The James (or the nearby tenant in the parking lot) about lemonade; Heather volunteered to design the flyer and work in Canva; JP (identified in discussion as the person who can print posters/signage) will investigate whether the town can provide a sandwich board or sign holder to borrow. Members also noted Needham High School graduation and Memorial Day-related travel as constraints on available weekends. They acknowledged May 10 offers more lead time than earlier proposed weekends and that Open Studios weekend may bring extra foot traffic.
Members discussed materials and budget considerations. A $500 budget figure was mentioned in the context of hiring a costumed historical presenter, and members expressed concern that an actor or costume performer could exhaust the committee’s funds; they favored lower-cost, volunteer-driven activities instead.
