Alachua officials flag cost, timeline for new statewide background-screening clearinghouse

At the workshop the board addressed statewide changes to criminal-background screening and how the district will comply. Staff said the Florida clearinghouse will centralize criminal-history checks and require fingerprinting for new hires and periodic rescreening. "The state is saying we have to have all employees reprinted by June of '27," a district staff member said, and the typical per-person clearinghouse fee cited in the meeting was about $84.

Board members raised budget and logistics concerns. "That's an enormous expense and time and energy and you already have them," one trustee said, arguing the state already holds fingerprint records for many current employees. Trustees and staff calculated a potential district cost in the low hundreds of thousands of dollars to fingerprint all employees under the new rule; staff said they were planning how to phase the work, seek state guidance on grandfathering existing records, and explore in-house fingerprinting options.

The requirement also affects volunteers who will need Level 2 screening (fingerprints) for activities that place them alone with students, such as overnight field trips or chaperoning. Staff suggested schools could use School Advisory Council funds to support fingerprinting costs at schools that struggle to recruit screened chaperones. "If they don't have enough, that's something like SAC money could be used for," a board member said.
