The committee reviewed an electronic copy of the N&E manual that shows a footer reading "Revised June 2024." Rob, committee chair, asked that paper notebooks be prepared for committee members and archived by Sudden Valley administration. "I would like to add the committee members notebooks," he said when opening old business.
Why it matters: Committee members said having a dated, complete manual with relevant state statutes (RCWs), county rules and Southern Valley bylaws will reduce confusion and ensure consistent handling of candidate requests, ballot replacement and eligibility questions at in‑person events.
Members designated responsibilities: one or two committee members will collect paper ballots from the ballot box and represent the committee in the counting room at the AGM; others will be present during early voting to answer procedural questions; committee members will staff and moderate the candidate forum and vet submitted audience questions to avoid personal attacks. Rob and Michael agreed to coordinate communications content and to forward a duties list to staff to publish.
Committee members also discussed communications channels (the Sudden Valley website, an email e‑blast, the printed Views newsletter and a Facebook page) and asked staff to post outreach materials explaining hybrid voting and voting options.
The committee also noted there is an open committee seat and asked members to encourage interested neighbors to apply via the volunteer link on the website.
Ending: The committee requested staff assemble paper notebooks containing the June 2024 N&E manual and related bylaws, and set tasks for AGM logistics and communications. Rob apologized for the delay getting notebooks to members and committed to follow up with the general manager and board secretary on archival copies and distribution.
