Committee chairs and staff outlined committee membership, meeting frequency, and responsibilities for existing committees including Executive, Grants and Funding, Public Art, Audit and Finance (ad hoc), Nominating, and Advocacy and Community Engagement. Chair West and staff proposed moving to monthly full commission meetings on a standing day (proposed fourth Thursday) to provide more regular oversight and public transparency, with exceptions for Thanksgiving/December holidays. The committee recommended shifting the Executive Committee meeting to a mid‑month slot (midway between full commission meetings) to allow time to prepare items for full commission agendas.
Staff described current vacancies and committee rosters: the commission had multiple vacancies and several commissioners would be reallocated among committees as vacancies and appointments change. The Audit and Finance ad hoc committee will expand membership; staff reported Commissioner Jester and the interim director have already met with Metro audit staff. The committee also recommended dissolving the Advocacy and Community Engagement committee and the Test Sites ad hoc committee, citing low recent activity and overlap with other committees’ duties. Commissioners were asked to review committee descriptions and indicate preferences for chair roles; staff said they will follow up individually with new commissioner appointments.
The committee also discussed scheduling details: staff reported survey results showed Wednesdays and Thursdays as generally preferable meeting days and suggested midday meetings (12:00–2:00 p.m.) were most accessible for commissioners. For executive-committee meetings, the committee discussed a standing second-Wednesday afternoon time as a possible option.
