Committee backs moving Incident IQ integration to board agenda to tie inventory and work orders

Technology staff told the Communications and Technology Committee on April 15 that the district currently runs separate systems for technology work orders and for asset inventory and that those systems are not integrated.
The presenter (technology staff) said Incident IQ would link inventory, work orders and user data by pulling PowerSchool records via ClassLink and Google. "It's all tied into Google. It pulls all of our PowerSchool data in through ClassLink," the presenter said, explaining that integration would allow the district to link a specific device to a student or teacher, automate alerts for new students needing devices and manage loaner devices in each building.
Staff reported a modest cost increase for Incident IQ compared with the two systems it would replace: "it's about a $3,800 difference," the presenter said. They also said there is an onboarding fee of roughly $3,000 that would need to be paid to start implementation; that onboarding could occur before July 1 but the main subscription is budgeted for next fiscal year. The presenter described expected operational benefits: streamlined asset tracking, automatic alerts when new students enroll in PowerSchool, and the option to use the system for loaner-device checkouts and to reduce spreadsheet-based tracking.
Committee members asked about student self-service for tickets and about potential ticket volume; staff said student self-service could be piloted at the secondary level but cautioned that elementary buildings commonly have teachers submit requests. The presenter said the system could reduce manual data entry, improve accountability at device issue resolution and replace older systems that had been in use for many years.
Committee chair Joe Lyons confirmed next steps: staff will put the Incident IQ contract on the April 17 (Thursday) board agenda to allow onboarding to begin; staff said onboarding typically takes about 2โ2 months and the onboarding fee would come from the current fiscal year if implementation begins before July 1. There was no vote taken by the committee at the meeting.
Staff said more specific policy or pilot plans (for example, student self-service at the high school) would be developed after the product is approved and implementation timelines are set.
