Hartland approves new rec events, software rollouts and equipment purchases

The Village Board of the Village of Hartland approved several Park & Recreation items during its Dec. 9 meeting, including two special events, a software rollout to manage field reservations, a small equipment purchase, and an increase to court reservation fees.
The board approved a Kiwanis proposal to run nine Thursday-night "ice games" at the Nixon Park rink in January and February and waived the associated application and rental fees. Jim Minzenberger, speaking for Kiwanis, said the nights would be 6–8 p.m., use a portion of the rink, provide hot chocolate and simple organized games and carry no participant fee. “We just thought we'd come in, do a little hot chocolate, do some organized game for kids that show up, and just try to have some fun,” Minzenberger said.
The board also approved the Village's moonlight-hike event in Nixon Park on Jan. 11, 2025, presented in partnership with the Ice Age Trail Alliance; the warming shed will be open and complimentary hot chocolate offered. Park staff told the board the event has drawn as many as 77 participants in prior years and recommended approving the application with fees waived.
On administration and user access, the board approved implementing CivicRec software for field reservations. Staff said the roll-out has been phased: summer-camp registration and shelter reservations were already moved to CivicRec, and field reservations will now follow. User groups will receive a packet and have priority access on a first-complete-packet basis; staff will do the initial schedule input and then switch premium access to the general public.
The board approved a budgeted $13,959 purchase of a golf-cart/utility vehicle for park operations; staff said funds were already in the park budget.
The board also adopted updated court reservation fees for 2025, raising tennis and pickleball court reservation fees from $20 plus tax to $30 plus tax for a two-hour block for the Nixon and Penbrook courts. Staff said courts remain open to public, first-come-first-served without reservation, and the fee applies only to guaranteed reservations.
All motions related to the items above carried on voice votes.
What’s next: Staff will distribute the CivicRec user-packet later this month and open the reservation process to groups on the first business day in January. The Kiwanis ice nights and the Moonlight Hike are scheduled for winter dates noted above; staff will coordinate field and shelter access and provide signage for reserved courts.
